Data Retention Policy

1. Overview

This Data Retention Policy explains how ServQore retains and deletes data across major product areas. Actual retention may vary based on account settings, subscription status, legal holds, security needs, backups, third-party provider retention, product limitations, and written agreements. You are responsible for setting your own record retention policies for Customer Data you control and for exporting records you must keep.

2. Retention Matrix

Account and billing records

Kept for the life of the account plus a reasonable period for legal, security, billing, and support records. This includes customer profile, login metadata, subscription history, and support tickets. Full payment card numbers are processed by Stripe; ServQore does not store PAN or CVV data.

Prospect and outreach data

Prospect records (including businesses we have not yet contacted) are retained for our business operations, including future products and services, until deleted upon verified privacy request, unsubscribe, or manual review. We do not automatically delete prospect records solely based on age. Lead data we did contact is kept up to 24 months from last activity unless deleted earlier upon request. This includes Google Places enrichment, qualification scores, and outreach logs.

Hosted website and Customer Data

Retained for the duration of the subscription plus 12 months, unless deleted earlier upon request or the account termination export period ends. This includes site files, schema configuration, form submissions captured on your live site, and customer portal data.

AI chatbot sessions

Conversation logs are retained for at least 90 days for review and incident investigation, then deleted per your intake retention settings or upon account cancellation. Metadata from servqore.com marketing chat may be scrubbed sooner per our Privacy Policy.

Voice call recordings and transcripts

Recordings are retained per your voice intake selection (default 90 days), then automatically deleted. Transcripts may be retained up to 24 months for billing audit and operational analytics unless you opt out in intake. Transient audio streams may not be retained after processing unless saved by a feature.

Email and SMS logs

Email send logs are kept up to 12 months. SMS send and consent logs are kept up to 5 years for legal compliance. OTP verification codes are kept up to 24 hours. ServQore uses transactional SMS for account verification and billing only, not cold prospect blasting.

Speculative preview sites

Retained while prospecting or until deletion upon request, refund, or conversion to an active customer site. Previews are marked noindex and watermarked.

Audit, security, and operational logs

Retained as needed for security, fraud prevention, troubleshooting, compliance, and service reliability. Retention varies by provider, environment, severity, and security need.

Marketing website analytics

Governed by cookie choices, analytics provider settings, and marketing configuration. Non-essential marketing trackers on servqore.com load only after cookie consent where applicable.

Backups and disaster recovery copies

Retained until overwritten by normal backup rotation. Deleted data may persist in backups for a limited time and is not restored except for disaster recovery, security, or legal reasons.

3. Account Termination and Export

After termination, ServQore generally provides a limited period, typically up to 30 days, for you to export Customer Data unless a written agreement says otherwise. We provide a full export of your site files within forty-eight (48) hours upon cancellation. After the export period, ServQore may delete Customer Data from active systems. Backup deletion follows ordinary backup rotation.

4. Deletion Requests

You can request account or data deletion by contacting privacy@servqore.com or using our automated privacy endpoints described in the Privacy Policy. If ServQore processes data on behalf of you as a business customer, your end users and site visitors should direct deletion requests to you first; we may forward or redirect requests where appropriate.

5. Legal Holds and Preservation

ServQore may preserve data if required by law, legal process, dispute, security investigation, fraud investigation, tax or accounting obligation, or written instruction from you. We do not guarantee preservation unless confirmed in writing.

6. Customer Policy Needed

You should maintain your own retention schedule for customer records, call recordings and transcripts, website form leads, tax and accounting records, AI-generated content, and deleted user access logs. Counsel should align retention with federal, state, industry, privacy, and contract requirements that apply to your business.
